Event Executive

OVERVIEW

This role requires the candidate to work closely with the event operations team to deliver the registration and delegate services and event operations function in an efficient, pro-active and accurate manner.

AREAS OF RESPONSIBILITY

REGISTRATION & DELEGATE SERVICES:

  • Build and design new and existing registration portals and registration home sites (training will be provided)
  • Build, design and integrate event app’s with current software
  • Processing delegate payments online and offline
  • Handling large volumes of delegate queries per event
  • Reconciling registration payments in a timely and efficient manner
  • Identifying and developing opportunities for new and repeat business
  • Enhancing client & supplier relationships
  • Contribute to weekly team report
  • Global travel for client meetings, site inspections, and live event delivery
  • Close and engaging working relationship with current, past and on-going clients
  • Updating and maintaining accuracy of the registration system

EVENT OPERATIONS:

  • Ad hoc: co-ordinate aspects of certain events including; booking meeting rooms, coordinating food and beverage requirements and audio-visual requirements
  • Managing small to medium sized events in their entirety

THE IDEAL CANDIDATE:

  • Fluency in written and spoken English
  • Have a minimum 1 years’ experience in an event agency, hotel reservations/event co-ordinator role or administration/customer service role
  • Proficient with the Microsoft Office package, particularly Excel and Outlook
  • Have a high level of computer/IT literacy
  • Be educated to a minimum of diploma level
  • Have strong attention to detail with an eye for execution
  • Show a natural proactive approach to achieving deadlines
  • Have an interest in dealing with large volumes of delegate/customer queries and effectively managing workloads
  • Excellent interpersonal, oral and written communication skills
  • Is a natural team player capable of inspiring confidence in both clients and their team colleagues
  • Experience with registration systems/other systems (eTouches/Event Pro/WordPress or similar) is desirable but not essential as training will be provided
  • Passion and hunger to progress in a registration and delegate services/event operations capacity, within a global event management company
