Front of House Manager (Maternity Cover)

Overview:

The Helix is a multi-purpose arts, entertainment and conference and events centre nestled in the heart of Dublin City University’s vibrant campus located in Glasnevin Dublin 9. Since opening in 2002, the Helix has established itself as a destination of choice for an incomparable range of events attracting audiences from Dublin and beyond with a mixture of high quality music, drama, sport, live TV productions, conferences and general  entertainment  programming. In  line  with  our  continued  organisational  growth  and  the  interest generated as a result of the venue winning the prestigious 2016 “Best Purpose Built Event Venue”, The Helix is currently recruiting for the role of Front of House Manager - Maternity Cover.

 

Title: Front of House Manager (Maternity Cover)

Numbers of hours per week: 35 hours

Contract: Maternity Cover – 9 months

 

Front of House Staff and Department:

~       Coordination, Management & Operation of the Front of House and Cleaning functions of the venue

~       Undertake general Front of House administrative duties, including the creation and maintenance of staff rosters and timesheet records

~       Monitor staff’s work performance, time keeping, general discipline and adherence to staff dress code

~       Ensure the safety of all patrons, staff, volunteers, visitors etc. through the proper implementation and enforcement of emergency procedures

~       Ensure all assigned staff members are kept up to date in Customer Service, First Aid and Fire and

Safety training and updated on all activity across the building.

~       Overseeing full compliance of Health & Safety regulations

~       Coordinate staff through hiring, training, evaluation and delegation of duties as necessary

~       Coordinate all Front of House requirements for events such as conferences, awards ceremonies, shows, performances, campus booking etc.

~       Regularly meeting and negotiate with relevant venue suppliers to ensure that we are achieving best possible prices

~       Ensure all Front of House equipment is fully operational

~       Work closely with all relevant departments to ensure the venue and all events operate smoothly and efficiently and in accordance with licensing authority regulations and Health & Safety Policy

~       Regular interaction with patrons to ensure the highest standards of customer service is maintained

 

Patrons and Promoters

~       Encourage and act upon customer comments and complaints to improve the venue’s customer car philosophy

~       Manage house advance and conference function sheets for upcoming events and coordinate information across departments

~       Inform patrons of house policies with regard to Health & Safety, including additional signage during use of special FX

~       Ensure IMRO forms are completed after every live music performance

~       Meet with clients and conduct site visits as required

 

Cleaning Department

~       Ensure all areas of the building both public and backstage are safe, cleaned and fully prepared for every event


~       Ensure cleaning equipment is working correctly and arrange for servicing where necessary

~       Ensure there are enough cleaning supplies for the coming weeks and order when needed

~       Complete weekly times sheets and raise PO’s for contract cleaners when required

~       Oversee and sign off of cleaning rosters in conjunction with Cleaning Supervisor

Security

~       Roster contact security for events when necessary

~       Raise PO’s and complete timesheets

~       Ensure CCTV systems are regularly checked and are functioning appropriately

 

Health & Safety

~       Be a key member of the Health & Safety Committee to improve and maintain health and safety procedures and policies

~       Ensure all Front of House staff are familiar with the venue’s fore evacuation procedures and that staff received regular fire awareness training and participate in regular fire drill practice

~       Ensure that all Front of House staff receive regular first aid training and the appropriate number of first aiders are on duty during events

~       Ensure company Child Protection Policy is fully adhered to

~       Report any issues in Front of House through the relevant Incident Reports

~       Assist in drawing up any new documentation for promoters in relation to H&S

~       Liaise with patrons who have been involved in any incidents and/or promoters if safety issues and been breached/compromised

 

Finance

~       Prudently manage Front of House budget ensuring the venue derives maximum value for all purchases and supplies

~       Raise PO’s for the various department where required

~       Complete weekly timesheets for Front of House and Cleaning staff

 

Volunteers

~       Oversee the organisation of the volunteers including rostering, events etc.

~       Maintain and regularly update Volunteer procedure manual

~       Conduct regular orientation and general customer service training with current and newly recruited volunteers

~       Provide on-going recognition for volunteers

~       Ensure that Volunteer uniforms/name badges etc. are of appropriate standard and correctly maintained

 

All other reasonable duties as may be deemed necessary by Helix management

 

Desired Skills and Experience

~       Minimum 3 years’ experience in a similar event management and customer relations role

~       3rd level qualifications a distinct advantage

~       Computer literate

~       Excellent organisational skills

~       Experience of operationally managing large functions and events

~       Proven track record in managing customer service functions and staff management

~       Fluent English essential
